BACKGROUND/ PROCEEDINGS
The chairperson stated that the purpose of the meeting that it was to provide the bidder with an open feedback regarding their submission and also guide the bidder on how to improve their winning chances in their future responses. In addition, he highlighted that Council is still in need as such the tender will be re-advertised and wish the contractor to bid.
The chairperson indicated that all the bids were unsuccessful. She stated that Croco motors Pvt Ltd failed in the preliminary stage. The main issue on their failure was that they did not submit Spoc fee certificate of $400.
An email was sent to CROCO MOTORS on the 20th of July 2023 requesting for Spoc fee, tax, clearance and vat registration and audited financial statements and they confirmed the had not paid the Spoc fee.
The Contractor agreed that they were aware of Spoc fee and that it was not paid, and assured that they will pay for it on the next tender if advertised. The chairperson called the meeting to order and thanked everyone who participated.
The contractor also thanked the meeting and promised to participate if the same tender was to be re advertised taking note of the guidelines and omissions sited by the chairperson.

Conclusively, the chairperson advised the bidder to make sure that they should make sure that they pay their Spoc fee in time so that their bids will be valid. They were also encouraged to also make sure that they submit all the required documents .
